This policy explains how Vaurse Ltd handles personal data when you use the Vaurse app, your Voscard, vaurse.com, voscentral.com and our portals. We follow Ghana's Data Protection Act, 2012 (Act 843). The short version: your record is yours, we never sell your data, and you decide who sees what.
1. Who is responsible
- For your own account and record, Vaurse Ltd is responsible for your data.
- When an employer, school or other organisation uses Vaurse to manage its own people (staff cards, doors, hours, students), that organisation decides how its people's data is used, and Vaurse processes it for them under a Data Processing Agreement.
2. What we collect
- To set you up: your name, phone number and photo, and the result of checking who you are with your Ghana Card. We keep the result of the Ghana Card check, not a copy of the card.
- Your record: facts organisations have signed about you, who signed them and when.
- Your card: your Voscard number, its status (active, frozen) and its finish if printed, plus a delivery address if you order a printed card.
- When you use your card: passes, memberships, stamps and deals you hold. Where your employer or school uses Vaurse at doors or for clock-in, the time and door of each tap is recorded for them.
- Payments: what you bought and when. Card and mobile money details are handled by our payment provider, not stored by us.
- Messages and support: what you send us, and your replies.
- This website: your cookie choice, and analytics only if you say yes (see our Cookie policy).
3. Why we use it
- To give you your Voscard and your record, and to let you share them.
- To let the right people check a card or a fact, only when you allow it.
- To run doors, clock-in, passes and deals for the organisations you belong to.
- To keep Vaurse safe: stopping fraud, frozen cards and misuse.
- To meet our legal duties.
We never use your data to score you, to profile you, or to show you ads from other companies.
4. Who sees it
- People you share with. When someone checks your Voscard, they see whether it's real and active, and on a green answer your name as the issuer has it. They never see a photo, a phone number or an address.
- Organisations you belong to. Your employer or school sees what it needs to run its cards, doors and records for you, and nothing from your other organisations.
- Apps you connect. "Sign in with Vaurse" shares your name, photo and verified phone number, plus only the signed facts you choose. Your attendance, door taps and where your card has been are never shared with apps.
- Our service providers: hosting, payments (Hubtel), and SMS and email delivery, each only for their part of the job and under contract.
- The law. If the law requires it, we may have to share data with authorities. Where we're allowed to, we'll tell you.
We never sell your data, and we never rent it out.
5. How long we keep it
- Your account and record: while your account is open.
- After you close your account: we delete or anonymise your personal data within 90 days, except what the law requires us to keep, such as payment records.
- Door and clock-in logs kept for an organisation: 12 months, then turned into totals with no names.
6. Your choices and rights
- See what we hold about you, and get a copy.
- Correct details that are wrong. Signed facts are corrected by their signer; we'll help you ask them.
- Hide or stop sharing a fact, and take access back from any app or person.
- Close your account and ask us to delete your data.
- Object to how we use your data, or complain to us, and if you're not happy with our answer, to Ghana's Data Protection Commission.

7. Keeping it safe
Your data is encrypted when it travels and when it's stored. Access inside Vaurse is limited to people who need it, and every access is logged. Read Trust & security for more.
8. Data outside Ghana
Some of our service providers may store data outside Ghana. Where they do, we'll protect it as the Data Protection Act requires; the details will be set out here after legal review.
9. Children
Students under 18 may hold a Voscard issued by their school. The school is responsible for their data, with a parent or guardian's agreement where the law requires it. We don't knowingly open personal accounts for anyone under 18.
10. Changes
If we change this policy in a way that matters, we'll tell you in the app before it takes effect.
